After signing up and verifying your account, Rool walks you through a quick setup wizard to create your organization. This typically takes less than two minutes.
The wizard has three steps: entering your organization details, choosing your terminology, and inviting your team.
Step 1: Organization Details
The first step asks for two things:
Organization Name -- The display name for your organization (for example, "Acme Corporation"). This is what your team members will see throughout the app.
URL Slug -- A short, URL-friendly identifier for your workspace. When you type your organization name, a slug is automatically suggested based on it. For example, "Acme Corporation" becomes
acme-corporation. You can edit the slug manually if you prefer something different.
The slug must be at least two characters long and can only contain lowercase letters, numbers, and hyphens. Rool checks in real time whether your chosen slug is available -- you will see a green checkmark when it is, or a red indicator if it is already taken.
Your workspace URL will follow the pattern app.rool.com/your-slug, so pick something recognizable and easy to remember.
Once you are happy with the name and slug, click Continue to move on.
Step 2: Terminology
Different businesses organize themselves in different ways. A franchise calls its units "Locations," a car dealer group calls them "Dealerships," and a membership organization might call them "Clubs." Rool lets you choose the word that fits your business so the interface feels natural.
By default, Rool uses the term Branch. You can pick from these built-in options:
Branch (default)
Location
Club
Store
Office
Franchise
Candidate
Team
If none of those fit, select Custom and type in your own term. Enter the singular form (for example, "Dealership") and Rool will generate the plural automatically.
This setting affects labels throughout the app. For example, instead of seeing "All Branches" in navigation menus, you would see "All Locations" or "All Dealerships" -- whatever you chose.
Click Continue to save your organization and move to the final step.
Note: Your organization is created at the end of this step. You can still go back and change the terminology before finishing, but the organization name and slug are locked in at this point.
Step 3: Invite Your Team (Optional)
The last step lets you invite colleagues to join your organization. This step is optional -- you can skip it and invite people later from your team settings.
To invite team members:
Enter an email address in the email field.
-
Choose a role from the dropdown:
Admin -- Full access to all settings, team management, and content across every branch.
Editor -- Can create, edit, and approve content but cannot manage organization settings or team members.
Member -- Can view content and participate in workflows within the branches they are assigned to.
To invite more people, click Add Member to add another row.
To remove a row, click the trash icon next to it.
When you are ready, click Send Invites & Finish. Each person will receive an email invitation with a link to join your organization.
If you would rather set up your team later, click Skip & Finish to go straight to your new workspace.
What Happens Next
After completing the wizard, you are taken to your organization's dashboard. From there you can:
Add branches (or locations, stores, etc.) to represent your different business units
Connect social profiles to start managing your social media presence
Invite more team members from the team settings page
If any invitations fail to send during setup, you will see a notification letting you know. You can always resend invitations from your team settings.
Changing Settings Later
Everything you configure during onboarding can be updated afterward:
Organization name -- Go to your organization settings (admins only).
Terminology -- Contact your platform administrator to update the terminology setting.
Team members -- Manage invitations and roles from the team settings page at any time.
The URL slug cannot be changed after creation, so choose carefully during setup.
