Managing Pending Invitations

After you invite someone to your organization, the invitation stays in a pending state until the recipient accepts it. As an admin, you can track all outstanding invitations, resend them if needed, or revoke them entirely.


Viewing Pending Invitations

To see all pending invitations for your organization:

  1. Navigate to Settings from the sidebar.

  2. Select the Team Members tab.

  3. Scroll down to the Pending Invitations section.

The pending invitations count is displayed next to the section heading, so you can quickly see how many invitations are outstanding.

What You'll See in the Table

Each pending invitation displays the following details:

Column

Description

Email

The email address the invitation was sent to.

Role

The organization role assigned to the invitee (Admin, Editor, or Member).

Accounts

The accounts (branches) the invitee will have access to. Admins and Editors show "All accounts." Members show their specific account assignments with their account-level role (Manager or Contributor).

Invited By

The name of the team member who sent the invitation.

Sent

How long ago the invitation was sent (e.g., "3 days ago").

Actions

Buttons to Resend or Revoke the invitation.

If there are no pending invitations, you will see a message that reads "No pending invitations" with a prompt to invite team members.


Resending an Invitation

If a team member hasn't received or has lost their invitation email, you can resend it. Resending generates a fresh invitation link and sends a new email.

  1. In the Pending Invitations table, find the invitation you want to resend.

  2. Click the Resend button on that row.

  3. A confirmation toast will appear once the email has been sent.

When you resend an invitation, the previous invitation link is replaced with a new one. The new link is valid for 7 days from the time it is resent.


Revoking an Invitation

If you no longer want someone to join your organization, you can revoke their invitation. Once revoked, the invitation link will no longer work.

  1. In the Pending Invitations table, find the invitation you want to revoke.

  2. Click the Revoke button on that row.

  3. A confirmation dialog will appear asking you to confirm. The dialog explains that the recipient will no longer be able to accept the invitation.

  4. Click Revoke Invitation to confirm, or Cancel to go back.

After revoking, the invitation is removed from the pending list. You can always send a new invitation to the same email address later if needed.

Note: Only admins can revoke invitations.


Invitation Expiry

Every invitation is valid for 7 days from the time it was sent (or last resent). After 7 days, the invitation link expires automatically and the recipient will see a message that their invitation is no longer valid.

If an invitation has expired:

  • The recipient will not be able to accept it.

  • You can send a new invitation to the same person, which will provide them with a fresh 7-day link.
