Connecting Google Drive

Connect your personal Google Drive to Rool so you can browse, select, and import images and videos directly into your posts and asset library.


What Google Drive Integration Does

The Google Drive integration lets you:

  • Browse folders and files in your personal Google Drive without leaving Rool

  • Search for specific files by name

  • Select images and videos from Drive and import them into your asset library

  • Attach Drive files directly to posts during creation

Your Google Drive connection is personal to you. Other team members cannot see or access files from your Drive -- they connect their own accounts separately. Rool uses read-only access, so it can never modify or delete anything in your Drive.


Connecting Your Google Account

  1. Open your organization's Settings page from the sidebar.

  2. Click the Integrations tab.

  3. In the Connected Services section, find the Google Drive card.

  4. Click Connect Google Drive.

  1. You will be redirected to Google's sign-in page. Sign in with the Google account whose Drive files you want to access.

  2. Review the permissions and click Allow. Rool requests read-only access to browse your files.

  3. You will be redirected back to Rool. A success notification confirms your Drive is connected.

Once connected, the card displays:

  • A Connected badge

  • Your Google account email address and name

  • A timestamp showing when the connection was last refreshed


Browsing and Importing Files from Google Drive

You can access your Google Drive files whenever you select assets -- for example, when attaching media to a post.

  1. Open the Select Assets dialog (this appears when you add media to a post or content request).

  2. Click the Drive tab in the tab bar at the top of the dialog.

  1. Your Drive files appear in a grid view. The browser shows only images and videos -- other file types are automatically filtered out.

  • Click any folder to open it and view its contents.

  • Use the breadcrumb trail at the top (starting with My Drive) to navigate back to parent folders.

  • Click My Drive in the breadcrumbs to return to the root of your Drive.

Searching Files

  • Use the Search files... field in the top-right corner to search for files by name.

  • Search results appear across all folders in your Drive.

  • Clear the search field to return to folder browsing.

Selecting and Importing Files

  1. Click on a file to select it. A checkmark appears on selected files.

  2. Click a selected file again to deselect it.

  3. Select as many files as you need. The Selected Files section at the bottom shows your current selection.

  4. Click Import & Attach to import the selected files into your Rool asset library and attach them.

Rool downloads each file from your Google Drive and adds it to your organization's asset library. A progress indicator shows the status of each file during import. If a file has already been imported, Rool skips it automatically rather than creating a duplicate.

Refreshing the File List

If you have recently added files to your Google Drive and do not see them in the browser, click the refresh button (circular arrow icon) in the top-right corner of the Drive browser to reload the file list.


Connection Status and Troubleshooting

Status Badges

Your Google Drive connection shows one of the following statuses on the Settings > Integrations page:

Status

Meaning

Connected

Everything is working normally.

Expired

Your Google authorization has expired and needs to be renewed.

Error

Something went wrong with the connection.

Reconnecting

If your connection shows Expired or Error:

  1. Go to Settings > Integrations.

  2. On the Google Drive card, click the reconnect button (circular arrow icon).

  3. Sign in with Google again and grant permissions.

You may also see a Reconnect Required message inside the Drive browser if your session has expired. Click Reconnect Google Drive to re-authorize.

Disconnecting Google Drive

If you no longer want Rool to have access to your Google Drive:

  1. Go to Settings > Integrations.

  2. On the Google Drive card, click the X button.

  3. In the confirmation dialog, click Disconnect.

After disconnecting, you will no longer be able to browse or import files from your Drive until you reconnect.


Frequently Asked Questions

Can other team members see my Google Drive files? No. Your Google Drive connection is personal. Only you can browse and import files from your own Drive.

What file types can I import? Rool shows images (JPG, PNG, etc.) and videos (MP4, MOV, etc.) from your Google Drive. Other file types like documents and spreadsheets are filtered out.

Does Rool modify anything in my Google Drive? No. Rool uses read-only access. It can browse and download files but cannot edit, move, or delete anything in your Drive.

What happens when I import a file? The file is downloaded from Google Drive and stored in your organization's Rool asset library. The original file in your Drive is not affected.

Why do I see a "Rate limited" or "Slow Down" error? Google limits how frequently apps can access Drive. If you see this error, wait a few seconds and the browser will automatically retry. Avoid rapidly navigating through many folders in quick succession.

I just uploaded a file to Google Drive but do not see it in Rool. Click the refresh button in the Drive browser to reload the file list. There may be a brief delay before newly uploaded files appear.
