Reviewing Posts for Approval

When a team member submits a post for approval, it lands in your Inbox and waits for your review. As an Admin or Editor, you can approve the post, request changes, or reject it -- all from one screen.

This guide walks you through finding pending posts, reviewing their content, and taking action.


Who can review posts?

Only users with the Admin or Editor role in your organization can approve, request changes, or reject posts. Account Managers can see posts for accounts they manage, but cannot take approval actions.

You cannot approve your own posts. Posts you submit for approval will not appear in your approval queue.


Finding posts that need your attention

Posts awaiting approval appear in two places:

  • Sidebar badge -- The Approvals link under your Inbox section shows a count of posts waiting for your review.

  • Inbox with Approvals filter -- Click Approvals in the sidebar (or navigate to your Inbox and select the Approvals tab) to see only posts that need your decision.

Inbox layout

The Inbox uses a three-column layout:

  1. Item list (left) -- A compact, scrollable list of inbox items. Unread items are visually distinct.

  2. Preview pane (center) -- Shows a full preview of the selected post with action buttons.

  3. Details and Activity panel (right, desktop only) -- Displays scheduling info, activity history, and comments for the selected post.

You can toggle between Active (items needing your action) and All (complete activity history) using the view mode switcher at the top of the item list.


Reviewing a post

Select a post from the item list to open it in the preview pane. Here is what you will see:

Post preview

The center of the screen shows a visual preview of the post as it will appear on social media. This includes:

  • The caption text

  • Any attached images or videos

  • A platform-style preview frame (Facebook, Instagram, etc.)

If the post targets multiple accounts with customized captions, use the account switcher above the preview to see how the post looks for each account.

Post details

Click the Post Details section below the preview to expand additional information:

  • Scheduling -- Whether the post publishes immediately after approval, at a specific date and time, or using a staggered schedule across accounts.

  • Publishing Targets -- Which platforms (Facebook, Instagram) and how many accounts the post will reach. A summary shows the total number of individual posts that will be created (accounts x platforms).

  • Metadata -- When the post was created, its current version number, and when it was submitted for approval.

The Activity tab in the right panel shows the full history of the post, including who created it, when it was submitted, and any previous approval actions.


Taking action on a post

The action buttons appear in a sticky header at the top of the preview pane, so they are always visible as you scroll through the post content.

Approve

Click the green Approve button to approve the post. No comment is required (though you can add one if you want).

What happens next depends on the post's scheduling settings:

  • Immediate -- The post is published right away to all target accounts and platforms.

  • Scheduled -- The post moves to "Scheduled" status and publishes at the specified time.

  • Staggered -- Each account publishes at its individually assigned time.

The post creator receives a notification that their post was approved.

Request changes

If the post needs edits before it can go live:

  1. Click the amber Changes button.

  2. A text area appears where you must explain what needs to change.

  3. Write your feedback (minimum 10 characters).

  4. Click Request Changes to send it back to the creator.

The post moves to "Changes Requested" status, and the creator receives a notification with your feedback. They can then revise the post and resubmit it for approval.

Reject

If the post should not be published at all:

  1. Click the red Reject button.

  2. A text area appears where you must provide a reason for rejection.

  3. Write your explanation (minimum 10 characters).

  4. Click Confirm Reject to finalize the rejection.

The post moves to "Rejected" status and the creator is notified with your reason.

You can also reject posts that have already been approved or scheduled, as long as they have not yet been published to any account.

Edit the post directly

If you would rather fix something yourself instead of sending it back to the creator, click the blue Edit button. This opens the post in the full post editor. After saving your changes, you can return to the Inbox to approve the updated version.


After you take action

Once you approve, request changes, or reject a post, the Inbox automatically advances to the next item in your queue. This lets you work through multiple pending posts efficiently without having to manually select the next one.

If there are no more items in the queue, the preview pane returns to the empty "Select an item" state.


Tips for efficient reviews

  • Use the Approvals filter to focus only on posts waiting for your decision, rather than scrolling through all inbox activity.

  • Check the account switcher on posts targeting multiple locations -- captions may be customized per account.

  • Expand Post Details to verify the scheduling is correct before approving, especially for time-sensitive content.

  • Be specific in feedback when requesting changes. The creator sees exactly what you write, so clear direction helps them revise quickly.
