Notification Types

Rool keeps you informed about activity that matters to you. Whenever something happens with your posts, content requests, or outbound requests, you will receive a notification so you can take action quickly.

This article covers every notification type in Rool and when you can expect to receive each one.


Where Notifications Appear

Notifications show up in two places:

  • Notification bell -- The bell icon in the top navigation bar shows a badge with your unread count. Click it to see your recent notifications.

  • Inbox -- Your unified inbox combines notifications with other actionable items like posts awaiting approval and pending requests.

You can also receive email notifications for certain categories. Email notifications are enabled by default but can be turned off in your preferences (see Managing Email Preferences below).


Post Notifications

These notifications are triggered by activity in the post approval workflow.

What you will see:

  • Post submitted -- "Alex submitted a post for approval"

  • Post approved -- "Alex approved your post"

  • Changes requested -- "Alex requested changes to your post" (includes a preview of the reviewer's comments)

  • Post rejected -- "Alex rejected your post" (includes a preview of the reason)

  • Post flagged -- "Alex flagged a concern on your post" (includes a preview of the concern)

  • Post cancelled -- "Alex cancelled your approved post and returned it to draft"

  • Post resubmitted -- "Alex resubmitted a post for approval"

  • Post comment -- "Alex commented on your post"

Clicking any post notification takes you directly to the post so you can review or respond.


Content Request Notifications

These notifications keep you updated when branches submit content requests and when HQ acts on them.

  • Content request submitted -- "Alex submitted a new content request"

  • Status changed -- "Your content request is now being worked on" or "Your content request has been completed"

  • Post created -- "Alex created content for 'Summer Campaign'" (includes a preview of the request title)

  • Comment added -- "Alex commented on your content request"

  • Request declined -- "Alex declined your content request" (includes a preview of the reason)


Outbound Request Notifications

Outbound requests are sent from HQ to branches asking them to take action (for example, submitting local photos or approving content). These notifications keep both sides informed.

A branch submits a response to your request

Branch declined

A branch declines your request

What you will see:

  • Branch responded -- "Downtown Location responded to: 'Submit store photos for spring campaign'"

  • Branch declined -- "Downtown Location declined: 'Submit store photos...'" (includes a preview of the reason)


Managing Email Preferences

By default, Rool sends both in-app notifications and email notifications. You can control which email notifications you receive by category:

  • Outbound requests -- Emails about new requests, responses, and reminders

  • Post approvals -- Emails about post submission and approval activity

  • Content requests -- Emails about content request submissions and updates

  • Reminders -- Emails about overdue or pending items

To update your email preferences:

  1. Click your profile or avatar in the sidebar.

  2. Navigate to your notification settings.

  3. Toggle the master email switch to turn all emails on or off.

  4. Use the category toggles to enable or disable emails for specific notification types.

Turning off email notifications for a category does not affect your in-app notifications. You will still see all notifications in the notification bell and Inbox regardless of your email settings.


Tips

  • Mark all as read -- Use the Mark all as read option in your notification panel to clear your unread count.

  • Filter unread -- Toggle the unread filter to focus on notifications that still need your attention.

  • Check your Inbox -- The Inbox combines notifications with actionable items, giving you a single place to see everything that needs your attention.
