Managing Notification Preferences

Rool keeps you informed about activity across your organization through two channels: in-app notifications and email notifications. You can customize how and when you receive emails while always staying up to date inside the app.


In-App Notifications

In-app notifications appear in real time as you use Rool. They are always on and cannot be disabled, so you never miss important updates.

The Notification Bell

Look for the bell icon in the top navigation bar. When you have unread notifications, a red badge displays the count (up to 9+).

Click the bell to open the notifications dropdown. From here you can:

  • Read a notification -- click any item to view details. If the notification is linked to a post, you will be taken directly to that post.

  • Mark all as read -- click the Mark all read button at the top of the dropdown to clear all unread indicators at once.

  • View all notifications -- click View all notifications at the bottom of the dropdown to open your full Inbox.

Notification Types

You will receive in-app notifications for activity such as:

  • Post approvals -- when a post is submitted, approved, rejected, or has changes requested

  • Post comments -- when someone comments on a post you are involved with

  • Content requests -- when a branch submits a content request, or when its status changes

  • Outbound requests -- when HQ sends a request to your branch, or when a branch responds to your request

  • Reminders -- follow-up notifications for items that need your attention

Unread notifications appear with a highlighted background and a small blue dot so they are easy to spot.


Email Notification Settings

Email notifications mirror the same activity as in-app notifications but are delivered to your registered email address. You have full control over which emails you receive.

Opening Email Preferences

  1. Navigate to your organization settings.

  2. Select the Email Preferences tab.

Master Email Toggle

At the top of the Email Preferences panel you will find the Enable all email notifications switch.

  • On (default) -- you receive email notifications based on your category settings below.

  • Off -- all email notifications are turned off. A warning banner confirms that no emails will be sent while this is disabled.

Note: Turning off email notifications does not affect in-app notifications. You will still see notifications in the bell icon, your Inbox, and real-time updates within the app.

Email Categories

When the master toggle is on, you can fine-tune which types of emails you receive by toggling individual categories:

Emails about HQ requests sent to branches -- new requests, reminders, and fulfillment updates

Post Approvals

Emails about the post approval workflow -- submissions, approvals, and change requests

Content Requests

Emails about content requests from branches to HQ

Daily Reminders

Periodic reminder emails for pending items that need your attention

Each category has its own toggle switch. Turn a category off to stop receiving that type of email while keeping others active.

Saving Your Changes

After adjusting any toggles:

  1. Click Save Changes to apply your new preferences.

  2. A confirmation message will appear when your settings are saved successfully.

If you change your mind before saving, click Cancel to revert to your previous settings.


Frequently Asked Questions

Will I miss anything if I turn off email notifications? No. All notifications still appear in the app via the bell icon and your Inbox. Email is an additional channel, not the only one.

What happens if I have never changed my preferences? By default, all email notifications are enabled. You will receive emails for every category until you choose to turn any off.

Can I turn off just one category? Yes. Keep the master toggle on and switch off only the categories you do not want to receive by email.

Do these settings apply across all my organizations? Email preferences are tied to your user account and apply globally, regardless of which organization you are viewing.
